Guide to Postgraduate Research Student PRSS Travel at UNSW

All students travelling on UNSW business/conference need to follow the UNSW Travel Policy and Procedures when booking their travel.

UNSW travel procedure for students travelling with the aid of PRSS funds:

  1. Create a travel profile
    First time travellers must complete a Travel Profile which takes about five minutes and can be accessed through myUNSW. Once you have set up your travel profile, UNSW preferred travel agents will keep the information on file so that you don't have to provide the information again each time you travel.

  2. Check traveller health and safety requirements
    When there is concern about the safety of a University traveller's destination, the University may curtail, suspend or prohibit travel. Certain regions require Risk Management Unit notification/approval, including Indonesiaand the Middle East. Students should check the current travel page found at: http://www.fin.unsw.edu.au/files/forms/rmu/18%20April%202008_UNSW_Travel_Advisories.pdf.In addition, postgraduate research students must check the Australian Government Travel Advisory and Consular Assistance Servicewebsite for the latest travel advice before requesting international travel. Destinations noted by Smart Traveller as "Reconsider your need to Travel" or "Do Not Travel" cannot be travelled to without the permission of the Manager of the Graduate Research School. If this permission is obtained all UNSW students traveling to any countries or regions listed as "Reconsider your need to Travel" or "Do Not Travel" must contact the Risk Management Unit (Harry Rosenthal, Tel: 9385 1414, h.rosenthal@unsw.ed.au) prior to departure to obtain further instructions and to supply information regarding their departure dates and destinations.

  3. Apply for official approval to travel
    Students will need to submit a T6 form for approval by their Supervisor and/or Travel Approval Manager for all travel partially or fully funded by the PRSS Scheme. The T6 form
    should be signed by the Supervising academic plus the Head of School or authorised nominee and submitted to the School/Faculty at least seven days before departure.

  4. Students must use one of the UNSW preferred agents to book flights
    These agents are obliged to match legitimate quotes from other sources. If they are not able to do so please contact Nathan Jones who is the University Procurements Category Manager - Travel (Tel: 9385 2687, Email: nathan.jones@unsw.edu.au). Students may only use other sources to book flights after obtaining permission from Nathan to do so.
