Thesis Submission

The Graduate Research School has produced "Thesis Submission and Examination @UNSW". All postgraduate research students should obtain a copy of this document either electronically or collect a hard copy from the Graduate Research School. The hard copy includes "Thesis Submission and Examination @UNSW" as well as the Essential Forms listed below.

Each of the above three areas aim to ensure that you have submitted your thesis in accordance with the Policy on Examination of Research Degrees and that you have submitted the correct forms prior to and with your thesis submission. Additionally, examiners are asked to complete a Report Form and are provided with Examiners’ Notes.

Once all the necessary approvals have been received, your thesis will be sent to the examiners. The examiners are asked to examine your thesis within six weeks. Students should be aware that sometimes circumstances prevent examiners from returning their report in time and delays are sometimes expected.

Once all of the examiners' reports are returned, they are considered by your Head of School and the Higher Degree Committee (HDC) and a recommendation is made.

The entire length of the examination process (i.e. from your notification of intention to submit your thesis to the Graduate Research School through to notification of the final result of your thesis examination) is outlined in the figure below.

Thesis Submission Process
Once you have satisfied the requirements of the higher research degree in which you were enrolled, you will be eligible to graduate in the next available ceremony. The Graduations Schedule lists the times and dates of the next round of ceremonies.

Essential Forms

Prior to submitting your thesis

  • Notification of Intention to Submit a Thesis for Examination (pdf, rtf) – to be submitted at least 2 months prior to the submission of your thesis.
Inside your thesis

  • Thesis/Dissertation Sheet (pdf, rtf) – to be glued on the inside cover of each copy of your thesis.
  • Originality Statement – this must be signed by the author and appear at the front of each copy of your thesis.
When you submit your thesis

  • Graduation Information Sheet (pdf, rtf) – to be lodged when you submit copies of your thesis.
The Final Bound Library Copy

  • Copyright and Authenticity Statements - in addition to the Originality Statement and the Thesis/Dissertation Sheet, your final bound library copy (printed and digital) should also include Copyright and Authenticity Statements.
Important Dates

6 months prior to submission

  • If required, you may need to restrict access to the Library copy of your thesis. For more information, please read the information below on restricting access and confidentiality of your thesis.
  • If you think that it may be appropriate for your thesis to be submitted in the format of a series of publications, your supervisor and the Head of School must submit appropriate documentation for consideration of the Faculty Higher Degree Committee. For more information please read the 'Preparation and Submission of Master by Research and Doctoral Theses for Examination' information within the "Thesis Submission and Examination @UNSW" document.
Two months prior to the submission

  • You are required to inform the appropriate campus office (see below) of your intention to submit your thesis for examination.
  • If you are submitting your thesis in the format of publications (subject to approval of the Faculty Higher Degree Committee), you must indicate this when lodging your notification of intention to submit.
Restricted Access & Confidentiality of Doctoral and Masters by Research Theses

It is University policy that a thesis produced from a research higher degree should be publicly available. A program of advanced study and research should only be undertaken if these conditions can be fulfilled.

The University recognises that there are certain circumstances for which immediate public availability of the thesis in the library may not be desirable.

a. During your candidature it may be necessary for you to use confidential material which you would not be at liberty to disclose in the thesis. For example, raw experimental data, or material that identifies personal details or subjects of a study. Permission may be sought to include such essential material in a sealed appendix. Access to the appendix would be restricted by the University Library for a period normally not exceeding five years. The examiners of the thesis and, as necessary, members of committees concerned with the examination will have unrestricted access to the appendix.

b. Research carried out with industry, or discoveries made during the thesis that have potential commercial applications. Deferment of public availability of the thesis may be required to allow time for registration or protection of intellectual property such as the filing of a patent application. In all such applications, the reasons for the request should be clearly stated and documents provided to support the claim e.g. a letter of acceptance from a publisher, copy of agreement with industry or an explanation of the necessity to maintain confidentiality to protect patent or other rights.

The following steps outline the process for obtaining approval for restricted access to your thesis.

  1. At least 6 months prior to the anticipated date of submission of the thesis, the candidate should complete the Restricted Access of Thesis and Confidentiality Form (please use the pdf version if completing the form by hand, please use the word version if completing the majority of the form electronically). Six months is required to allow the necessary approvals in advance of the appointment of examiners of the thesis.
  2. Requests for restricted access of up to 2 years can be approved by your supervisor. Requests for restricted access exceeding 2 years require the approval of the Dean of Graduate Research.
  3. The Head of School, in recommending the appointment of examiners to the Higher Degree Committee in the Faculty, should obtain the agreement of the examiners to keep strictly confidential the contents of the thesis.
  4. Upon award of the degree, the candidate should lodge the final library bound copy of the thesis with the Graduate Research School and submit an electronic copy to the Australian Digital Theses (ADT) program in the Library (see the digital submission website for more information). The thesis will be restricted from public access in the library for the approved time.
